Build an article-wise quantity list
List each manufacturer article number, quantity and preferred colour. Include any series suffix printed on the image. If a catalogue page contains several articles, identify which one you want instead of treating the entire page as a single product. Ask which quantities can be supplied from current stock.
Request a written quotation
Ask for unit prices, applicable taxes, shipping charges, minimum quantities, carton quantities and quotation validity. A retail website price is not a promise of a wholesale rate. The final rate depends on the confirmed article, quantity and availability; request a quote rather than assuming a percentage discount.
Check samples and packaging expectations
For a new article or a large order, discuss whether a sample is available and what it costs. Confirm branding, retail packaging, accessories and whether mixed colours are acceptable. If a particular colour or package is essential, put that requirement in the quote.
Agree on delivery and shortage handling
Share the delivery PIN code, deadline and whether a part shipment is acceptable. Confirm dispatch timing separately from arrival estimates. Ask how shortages, transit damage and defective pieces should be reported, what evidence is needed and which warranty process applies.
Keep payment and billing details consistent
Use the business details that should appear on your final invoice and confirm payment instructions with the store. Never share a banking password or OTP to obtain a quote. Keep the quotation, order acknowledgement and delivery records together for reconciliation.
